Online fundraising has exploded in popularity — it’s fast, convenient, and can reach supporters far beyond your school’s walls.

But without the right setup and safeguards, it can also expose your PTO to security risks, low participation, or credibility issues. None of these risks require bad intentions. Most happen because a PTO moves fast and skips a step nobody thought was optional. A donation page built in an afternoon can look identical to one built with real safeguards. Donors cannot tell the difference from the outside.

1. Choose a Trusted Platform

Pick a platform with a solid reputation, nonprofit features, and strong security measures.

Popular choices: Givebutter, 99Pledges, RallyUp, GoFundMe Charity.

Check for:

  • Low processing fees
  • Easy donor experience
  • Good reporting tools for treasurers

The cheapest platform isn’t always the best deal once you count the hours spent chasing a clunky reporting export every month. A platform with weak reporting looks fine in month one. It becomes a real problem the first time someone asks for a full-year total.

2. Keep the Money Flow Transparent

  • Use an account tied directly to your PTO’s bank account — not a personal account.
  • Ensure all board members can view reports.
  • Download and save transaction histories regularly.

A PTO account that only one person can see isn’t transparency. It’s just a smaller, quieter version of the same risk.

3. Tell a Compelling Story

Generic pleas for donations rarely work.

Instead of “Help support our school,” say, “We’re raising $8,000 to send every 4th grader to the science museum and fund new playground games.” A specific number attached to a specific outcome gives a donor something to actually picture, not just a cause to feel good about. Numbers make a story verifiable. Feelings alone just make it forgettable.

4. Set a Clear Goal and Deadline

  • Goals create urgency.
  • Deadlines push people to act now instead of “someday.”

A goal with no deadline is just a suggestion. Most people give when there’s a reason to give today instead of eventually. A deadline three months out feels the same as no deadline at all. A defined campaign window gives donors a clearer reason to act now instead of eventually.

5. Make It Easy to Share

Give parents and teachers pre-written emails, social media posts, and QR codes so they can spread the word quickly. The easier it is to forward, the more likely it actually gets forwarded. Most people won’t write their own post from scratch.

6. Keep Donors Updated

Post progress updates during the campaign and share results after it ends — including photos of the funded programs in action. A donor who sees where their money went is a donor who gives again next year without needing to be convinced.

7. Watch Out for Scams and Fake Pages

Scammers have been known to set up fake fundraising pages pretending to be school groups.

Fix:

  • Publicize your official donation link everywhere.
  • Ask the platform about verification badges.

A fake page doesn’t need many donors fooled before it damages the trust the real campaign spent months building. Verification badges cost nothing to ask about and take five minutes to add. Skipping that step is rarely a budget decision. It’s just an afterthought.

Clear instructions, simple sharing tools, and frequent progress updates helped them surpass their $10,000 goal by 25%.
